Office 365 Deleted Item Recovery

Microsoft introduces a new product to its family named as Office 365 to consider the business requirements and economics. It is a Web-based application similar to Microsoft Office suite and is delivered to the users over the cloud. It belongs to the subscription plans that include Online SharePoint for collaboration, Exchange Online for emails, and other cloud services. By developing Office 365, Microsoft highlights various aspects and services of cloud.

Deletion of Data from Office 365

  • In Office 365, the deleted data is moved to the Deleted Items folder and stay there for 30 days. Meanwhile, if your move your data back to the specified folder then you can prevent the data loss. But, if you did not do so, then the item will become invisible to you after 30 days of deletion.
  • After deletion of data from Deleted Items folder, it will be moved to Recoverable Items folder visible to the administrator and can be recovered upon the request within the specified retention period.
  • An item cannot be recovered if it is deleted from Recoverable Items folder

How to Recover Office 365 Deleted Items

In the previous versions of Office 365, the deleted items can be recovered even after the deletion from Deleted Items folder.

Remember that deleted folders cannot be recovered, only messages within the folder is restored to inbox regardless of the its previous folder.

One can recover the deleted items with the help of various clients such as Outlook Web App, Outlook 2010, 2013, and 2016.

In newer versions of Office 365, the items can be recovered with the help of customized retention policy.

Retention Policy:

With the help of Retention period, the recovery period of deleted items can be extended up to infinitely as per the administrator’s choice. This feature helps you to recover the accidentally deleted items even after a long time.

The administrator can control and update the Default MRM Policy every user of Exchange Online.

After updating the Default MRM Policy, it can be renamed as Custom Retention Policy and the retention period can be selected from a drop-down menu. These modifications are performed by Exchange Admin Console or PowerShell.

This customized retention policy is available with the newer versions of Office 365.

How to Customize the Retention Period

Either the default MRM policy can be updated or a new policy can be created to make the changes.

Follow the following path – Office 365 Admin> Exchange admin center> Compliance management> Retention Policies.

After going through, you can update the already made policy by clicking on Default MRM Policy and giving it a new name. This new name will not be displayed to the users.

Conclusion:

As explained above, the deleted items of Office 365 can be recovered with the help of various clients. However, new version of Office 365 has its new customized retention policy to recover the items from Deleted Folder. This new retention policy is applicable to primary and archived mailboxes, not for the “Litigation Hold” and “In-Place Hold” spaces.
